An offer letter is the document an employer sends to a selected candidate confirming the job offer before they join. It states the role, the reporting location, the proposed CTC, the joining date and how long the offer stays open. It is shorter than an appointment letter and is issued first — the appointment letter follows once the candidate accepts and joins.
The offer letter proposes employment and invites the candidate to accept; it covers role, salary and joining date. The appointment letter is the formal employment document issued on or after joining and carries the full terms — probation, notice period, working hours, confidentiality and grounds for termination. Many Indian employers issue both.
An accepted offer letter is generally treated as a contract, so both sides are expected to honour it. In practice most offer letters include conditions — successful background verification, submission of documents, and relieving from the previous employer — and can be withdrawn if those are not met. Keep the conditions explicit in writing.
At minimum: the company name and address, the candidate name, the job title and department, the reporting location, the annual CTC, the expected date of joining, the probation period if any, and a date by which the candidate should accept. A signature block for the authorised signatory completes it.
It is possible but it carries reputational and, occasionally, legal risk — especially once the candidate has resigned from their current job in reliance on the offer. If withdrawal is genuinely necessary, do it in writing, give the reason, and do it as early as possible. Conditional clauses in the original letter make the position much clearer.
